Division 3 Council Meeting Minutes, Monday July 14th, 2008

The next meeting will be October 13th, 2008.

Approval of Minutes of April 21, 2008 meeting which were emailed to club officers. There being no objection the minutes were approved. Minutes are emailed to club officers who are requested to insure other club members are made aware of the contents. If there are any objections or recommended changes they should be emailed to the Lt. Gov. and secretary as soon as possible.

Treasurer’s Report by Jim Barger. Approved. $476.67 remaining in bank. Lt. Gov. Al expressed intent to carry $400 or more into 2008/2009.

REPORTS

Introduced 27 persons from 8 Kiwanis Clubs and one guest, Eddie Lee. Eight clubs attended with Greensboro, Havana, Monticello and Perry not represented. Five clubs qualified for Interclub credit.

Old Business

Tallahassee Club 85th anniversary on 23 July. Contact Pat Dallet for tickets to Guys & Dolls.

Division 3 Bylaws revision proposal will be presented by Keith Roberts at the October 13th meeting. (Committee members: Nancy Shank, Charles Brinkley, Jo Willis, Bob Henderson, and Earl Cushing).

A day at the ball park is now planned for Sept at Miracle Field. Date to be confirmed.

International Convention report by Lt. Gov. Al Eppinger. 22 delegates from 11 Division 3 clubs. Total Division 3 attendees including guests was 30. There were 3,300 delegates worldwide and about 5,000 in attendance. See the KI web site for election results. There were 3 important Bylaws changes. Clubs may opt to elect officers to serve for two years. Divisions may opt the elect Lt. Governors for two years. Electronic voting is now an option for club elections.

District Convention. 21-23 August. Check the District web site. The goal is to have every club represented. Hotel Deadline is July 20th. Delegate submission by August 3rd. President’s and Secretary training Friday August 22nd, AM and PM. Southern Scholarship golf tourney on Thursday, the 21st. Clubs are encouraged to assemble teams and sponsor holes!

2009-2010 Lt. Gov. Donna Wells was elected Lt. Gov. for 2009-2010.

New Business

Dictionary Project report by Nancy Shank. Goal is to reach all 3rd graders in Division 3. Estimated cost is $400 per club ($1.25 per dictionary) Each club should send a check for $400 to the Tallahassee Club by September 15th. Tickets will be delivered with Kiwanis stickers in September. Plans for the sticker party in September will be finalized soon.

Vials For Life was reviewed by Lt. Gov. Elect Keith Roberts. The implementation date is delayed due to City/location issues. Keith will confirm new timing. This will involve minimum funds (less than $25 per club), and Saturday distribution at local stores and care facilities.

Membership Growth presented by guest Eddie Lee. Asking people personally is the key! There is a new Division 3 training team composed of Jim Wylie and George Sweat available to train clubs. Contact them and schedule a time/program. Success depends on three things; (1) Be prepared to share your Kiwanis experiences and a member moment through training. (2) Have a special guest day! One in the next three months. (3) Before October 1st set up 4 person teams and challenge them to recruit one person by January 1st. Also, by August 2009. (Added by Lt. Gov. Al; Commit club officers and Board members to promoting membership. Make calls on local businesses). Eddie Lee is available to help.

Lt. Gov. Al covered distinguished club criteria. Club status is available online at the District site. 80 points are needed. Submit data in monthly reports. This will become the annual report and the basis for Outstanding Club awards.

Reports

Guardian Ad Litem by Rose Patterson. Budget cuts are affecting staffing and programs. They need more volunteers. The fund raiser exceeded $25,000, the best ever.

Ralph Davis Scholarship House. Funds were distributed by Jim Barger, including $1,120 from prior years. $1,100 from the clubs was previously distributed for 2008-2009. Division 3 maintenance days are planned for July 26th and August 2nd. Pressure wash, yard work and painting. Volunteers are needed from clubs. There will be a golf tournament at the District Convention on August 21st to benefit the Ralph House. Get teams and sponsor holes. A Division 3 cookout and pantry pounding is planned for September 4th to welcome the new students to the house.

Service Leadership Programs. On track 6 new K-kids clubs and 2 Builders Clubs. New Key Club targeted for East Gadsden (Havana and Quincy). Still $1,400 short on funds for trip to Key Club International convention. (Send checks to Jim Barger.) Plan budgets for 2008/2009 to include one third of travel costs for your Key clubs and some ($250 per club) for Division Key club officers and sponsors.

Miracle Field update by Jim Wylie. Construction is starting at the field. Sandco and C. W. Roberts to do construction of field with in-kind contribution approaching $100,000. Still need $50,000 to meet expected budget. Tallahassee Club presidents meeting on 23rd to define follow-up responsibility for major donors.

Club Reports.

Killearn. Membership; 8 new and 8 lost, plus one to be inducted. Two new K-Kids being formed at Desoto Trail and Gilchrist. Very successful golf tournament (met charitable target). Focused now on dictionaries, playground addition at Gretchen Everhart and parks in Killearn properties.

Quincy. Membership; down to 16. Trying to retain that level. (Actually lost two this year. Five more were roll cleanup.) Good charity golf tournament. Law Enforcement Luncheon held.

Greensboro. (Reported by Lt. Gov.) Excellent 4th of July party with: race, kid’s events, breakfast and evening entertainment and fireworks. 2,000 to 3,000 attending. Member recruiting throughout the day by Jim Wylie, Keith Roberts and Al. Excellent community diversity at all events.

Northside. Membership growth is major focus. New FSU Athletic Director presenting program on Aug 6th. Y’all come but let them know. Collected, cleaned & distributed clothes from Lincoln High School lockers. Went to migrant workers in Greensboro.

Lake Jackson. Added one new member to go plus 1 for the year. Two more applications in for review. Pancake breakfast big success. Great Kiwanis participation. Driving for seniors and yard clean-up. Food to Lighthouse Girls House.

Capital City. Down 3 members for the year, with several potentials. Collected and had party for Betheny Appartments. New member orientation program. Onion sales fundraiser. Books to troops. Working K-kids at Rudiger Elementary.

Tallahassee. Down 4 members for the year. Targeting recruiting 10 by October to stay even. Provided $5,000 to Ralph Davis Scholarship House from golf tournament. 11 scholarships to graduating seniors at $400 each. Books, Cd’s, DVD’s for troops. Spouses night at Maclay Gardens. Helped with Everhart Spring Fling. Participated in March of Dimes.

Southside. 7 persons worked Southwood July 4th celebration. Chartering K-Kids and Builder’s club. Picking up FSUS Key Club from Northside. Did March of Dimes walk. Helped playground build at FSU elementary school. Membership at 36. One new member added.

Madison. Plus 3 members by July 15th. Offsets earlier losses. Picked up clothing from school lost and found and redistributed. Provided $2,500 in scholarships to graduates. Held project graduation on graduation night with food and fun on site.
